Guided Query Practice

Try answering these questions by reading the prompt and working following the steps to create a query that gets you the results you are looking for. After you’ve completed these exercises, or if you are stuck on any of them, feel free to navigate to the guided query answers here.

  1. “How many prospects do we have for the active admissions year with a last name that begins with the letter W?” Name this query “W Prospects for the Active Admissions Year”
    • start from the “Find Prospects” query on the Admissions homepage
    • set the Prospect criteria to be “begins with” W
    • ensure that the Year Applying For is set to Active Admissions Year
  2. “Can you show me a list of all inquiries where the prospect is applying with a Day or Undecided resident status?”
    • start from the “Find Inquiries” query on the Admissions homepage
    • set the Resident Status Applying For to be “is one of” and check off both the Day and Undecided options
  3. “I need a list of all unlocked pending applications that are coming from minority families”
    • start from the “Pending Review” query on the Admissions homepage
    • set the Minority Family criteria as “Yes”
    • set the Locked criteria as “No”
  4. “Could you get me a list of all applicants with overdue checklist items that do not have any notes made on the items themselves?”
    • click on the Overdue Application Checklists query in the Checklists section of the Admissions homepage
    • set the Checklist Item Notes criteria to be “is blank”
  5. “Would you be able to build me a query of all applications submitted by current students for the next school year?”
    • start from the Find Applications query on the Admissions homepage
    • pull in the Role field and set the criteria to be “is one of”, then check off Student
  6. “Hey! Can you build me a report of all students in Online Re-Enrollment with an enrollment status of N/A? In this report can you make sure that Grade Applying For and Year Applying for are highlighted in red and green, respectively?”
    • start from the “Find Re-Enrollment” query on the Online Enrollment homepage
    • set the Enrollment Status criteria to be “is one of” N/A
    • Pull in the Grade Applying For and Year Applying For fields and position them next to eachother in the query design
    • For Grade Applying For, click the Style tab and set the Background Color to be a legible shade of red. Do the same for Year Applying for except make it a legible shade of green, instead
  7. “I need a report of all students who are withdrawing and whether or not they requested financial aid”
    • start from the “Students Withdrawing” query in the Not (Re-)Enrolling section of the Online Enrollment homepage
    • pull in the Requesting Financial Aid field to the query
  8. “Kind of a weird one, here. Can you build me a report showing all Enrollment Checklist items for students who recieved a Hepatitis B vaccine before the first of December in 2008? Please subtotal these by the student. Thanks!”
    • start from the Find Enrollment Checklist Items query on the Online Enrollment homepage
    • adjust the criteria under role to only be “is one of” Student
    • pull in the Immunization Date function field and set the immunization parameter to be Hepatitis B and the criteria to be “date is before” 12/1/2008
    • click the “subtotal header” option while the Full Name field is highlighted
  9. “So I can award certain financial aid packages, can you get me a list of all FA applications for Boarding resident status where the requestor has a Gender of Gender Non-Conforming?”
    • start from the Find All Applications query in the Financial Aid section of the Online Enrollment homepage
    • set the criteria for resident status to be Boarding
    • set the criteria for the gender to be Gender Non-Conforming
